 BOOKINGS TERMS & CONDITIONS

Beano’s Events Ltd require all customers to have read and accepted our terms and conditions for any hire or service received. When making your initial booking deposit with us, this confirms you have acknowledged, understood and accepted all content and information.  If you don’t understand these terms and conditions you must ask before making your initial booking deposit.

  1. Interpretation 

1.1 - ‘we’ ‘us’ or ‘our’ directly refers to Beano’s Events Ltd  

1.2 - ‘you’ ‘your’ or ‘customer/s’ refer to the hirer (the person purchasing the hire from Beano’s Events Ltd)

    2. Payment/Booking 

2.1 - Your booking and date is only confirmed once you’ve paid your initial booking deposit.  

Your initial booking deposit will be 50% of the total invoice (excluding delivery costs).  

(Unless stated otherwise in your invoice - such as Wedding Hire, Magic Mirror Hire – deposits may vary.) 

You will need to pay this amount as soon as possible. If the customer has not paid, then the date is not confirmed, and we reserve the right to accept a booking from a different customer. 

2.2 - The remaining balance of the invoice will need to be paid no later than 48 hours before the event. If we do not receive the final balance stated on your invoice, we reserve the right to cancel your event and the initial booking deposit will be non-refundable.

    3. Cancellation  

3.1 - If you decide to cancel your booking, you must give us 10 days' notice before the event date to receive your initial booking deposit and/or any additional payments back. If you don’t provide 10 days' notice, you will only be eligible to receive a partial refund. Please see the table below:

* All cancellation requests need to be sent to our email address as soon as possible. 

*Excludes £100 Wedding Hire, Photo Booth or an Event where the Initial Deposit is non refundable- this will be stated on your invoice. The remaining balance will be based on different T&C's listed below under Weddings 11.9.

    4. Security Deposit  

4.1 - A security deposit is required upon the hire of some of our items: 

  • Hot Tub or Igloo- £100.00 

  • All other identified items (e.g., backdrops and candy carts)- £25/50 

  • Magic Mirror Photo Booth - £50  

  • Wedding Styling – Dependant on items hired. 

We will discuss with you upon booking if the items that you are hiring will need to be covered by a security deposit. These items will be highlighted on your invoice. 

 
Where required a security deposit needs to be paid alongside any remaining balance in accordance to statement 2.2. The security deposit is refundable and will be paid back to you upon collection, if there are no damaged, stolen or missing items.  
Upon collection our team will inspect the items for such damages. If everything is still in the same condition as it was upon installation; you will receive your security deposit back, as per your initial method of payment. 
If upon our initial inspection, a repair or replacement is deemed to be necessary you will instead be billed in accordance to statement 4.2. 

4.2- In the event that any repair to or replacement of our hire equipment exceeds your security deposit, you will be billed accordingly and receive an invoice to outline any extra costs that you must incur. Your security deposit (as outlined in statement 4.1) will be deducted from this final bill. At this point you will have 5 days to pay for the damages. If this payment is not received from the customer, we will pursue the amount in the small claims court; as well as claiming for lost hire time and subsequent court fees. 

 

    5. Set up/Installation  

5.1 - It’s the customer’s responsibility to ensure there is adequate space for us to set up the event without any obstructions or debris. Specific space requirements will be discussed with you upon booking. Our team will ensure the event is set up safely and correctly, as per your invoice. Someone aged 18 or over is required to meet us at the time and location of set up; to ensure and explain any key details for the event hire.   

5.2 - At Beano’s Events Ltd we offer different types of hires. Each category of event has specific terms & conditions which you must read and accept before booking. Please carefully read the below section which is relevant to your event & hire. If you’re unsure please ask a member of the team.  

5.3 - Any electricity, water or additional costs which are used during your hire are at the expense of the customer. Beano’s Events will not be liable to pay the excess charges.  

 

    6. Hot tub hire  

6.1 - Prior to delivery please ensure you have a suitable, flat area that is 3 metres by 3 metres. We will need access to electricity and a water supply. We prefer to connect the hose and power supply to an outside tap/plug.  

If you don’t have an outside tap or power socket, we have suitable adaptors and extension leads that we can use. These options will be discussed with you during the booking stage.  

Depending how many people use the hot tub, there could be water spillage over the sides. Beano’s Events Ltd will not be liable if there are damages to your property because of this. On collection we need access to a nearby drain to empty the water from the hot tub.  

The hot tub can take around 1.5 - 2 hours to fill up with water, this can vary depending on your water pressure. To heat the water can take around 24 hours depending on the temperature of the water from the tap. We recommend using your hot water tap to lower the time and cost it takes to heat the hot tub.  

6.2 - During installation our team will ensure the hot tub is clean and safe to use. The hot tub is filled with water from your tap and therefore the water will need to be chemically shocked. This means you must not go in the hot tub when we leave, you have to wait at least 24 hours until the temperature and chemicals are ready. Our team will also provide enough chemicals for the duration of your hire. We will explain how to use the chemicals and how to maintain the cleanliness of the water to ensure you have a safe and enjoyable experience. 

 

6.3 - It is the customers responsibility to keep the hot tub clean and in good working order. Examples of how the water quality can be damaged include; using foam bubbles, not showering before use, wearing fake tan and excessive make up etc. Not only will you have dirty water but you also risk damaging the pump, which would result in losing your security deposit and being charged for the replacement.  

6.4 - If during the hire the team are called out to your venue to fix an issue with cleanliness or chemicals due to misuse from the customer, a call out charge of £25 and will be taken from the security deposit. This will also be the same upon collection, if we arrive and inspect the hot tub to find misuse and dirty water, the same penalty charge will be applied.  

6.5 - On set up, our team will provide safety rules for you to read before we leave. This provides clear instructions and important safety information. Beano’s Events will not be held liable if the safety rules are not followed during the hire.  

 

6.3 - It is the customers responsibility to keep the hot tub clean and in good working order.     7. Igloo hire  

7.1 - Your igloo hire will take around 1.5 - 2 hours to set up. Appropriate materials will be provided for severe weather conditions to anchor and support the structure.  

7.2 - We will need access to an outside power supply to provide electricity to the Igloo. If you don’t have an outdoor power supply, we can provide suitable adaptors and outdoor extension leads. Options can be discussed on the time of booking.  

7.3 - To ensure a smooth installation, the area needs to be completely flat and as dry as possible. We prefer to set up the igloos on grass, outdoor slabs, concrete or decking. We will need a surface area of at least 4 metres by 4 metres.  

When our team arrives, if the we don’t have a suitable area then we have the right to cancel the booking and your initial deposit will be non-refundable. It is the customer’s responsibility to ensure the area is cleared, flat enough and sufficient for the igloo to be installed.  

7.4 - The customer is responsible for the safe keeping of the equipment during the hire. In instances when the equipment is used at a large venue and the venue staff pack down the equipment; it must be stored in a safe and secure location, which is easily accessible upon our collection. The customer must ensure there are no damages made to the items during the hire as any damages made will be charged to the person responsible of the hire.  

7.5 - The Igloo comes with numerous items of expense so a £100 Security deposit will be taken upon booking 2 days before the hire. This will be returned to the customer after the booking as long as no damage has occurred to any of Beano’s Events items. Such as carpets, electrics, breakables and sound/projector equipment. Any item damaged – the customer will be billed for the replacement or fixture of the items. The amount billed will be taken from the £100 security deposit, if in any case the charge is more than the security deposit then the customer will be sent an invoice for extra charges and the customer is responsible to pay.

    8. Equipment prop hire  

8.1 - All items will be set up and installed safely. The team will explain any relevant information to ensure a smooth and enjoyable experience during the hire.  

8.2 - The customer is responsible for the safe keeping of the equipment during the hire. In instances when the equipment is used at a large venue and the venue staff pack down the equipment; it must be stored in a safe and secure location, which is easily accessible upon our collection. The customer must ensure there are no damages made to the items during the hire as any damages made will be charged to the person responsible of the hire.  

8.3 - It is the customers responsibility to inform us of any allergies or catering requirements when hiring items such as the Candy Cart or Donut Wall. Beano’s Events Ltd will not be liable for any allergic reactions or instances of choking when supplying food.  

 

    9. Balloon/Backdrops  

9.1 - The event, as agreed in the original booking will be set up by our team. We will ensure a professional set up with all agreed themes and decorations in place before we leave, this could take around 1.5 - 2 hours depending on the event. We will not accept any responsibility if the set-up changes after we’ve left the event.  

9.2 - The customer must ensure the safe keeping of the display and equipment during the hire. The team will explain on set up if there are fragile items included and what shouldn’t be touched. Children shouldn’t touch or try to take any of the balloons, if one balloon is taken, all the display could come down due to the design. We will not be liable if the display falls down due to misuse by the customer.  

9.3 - We strongly advise not to leave children un attended with balloons due to choking hazards or allergic reactions. Beano’s Events will not be held liable for any accidents or misuse caused by handling balloons.  

9.4 - Customers must look after the equipment once it has been delivered to the dedicated location or venue. Balloons should be kept at room temperature for best conditions and should not be touched if put in a display to ensure long lasting. Balloons can deflate when too hot, or too cold or if disturbed.

     10. Magic Mirror Photo Booth Hire  

10.1 - A suitable area will be required to ensure best quality images are taken using the Magic Mirror. Access to a power supply, internet supply, flat surface and minimum 6ft x 6ft of space will be required so our team can fully set up the booth. If hired with a backdrop the area needed is 6ft x 6ft for the backdrop and 2m x 2m further distance across for the booth and props table. The customer must acknowledge responsibility for the use of any equipment hired from Beano’s Events and ensure it is located in an area where it cannot be damaged. The customer must inform the team upon booking of any stairs, uneven surfaces, narrow access, parking availability and any difficulties that could affect a smooth install.   

10.2 -Our team will arrive before the scheduled start time to ensure the Booth is fully set up ready for the event – if any timings change after the initial booking process the customer must let Beano’s Events know asap. Once the Magic mirror is set up by Beano’s Events it cannot/will not be moved during the hire period.  

10.3 - Customers are required to pay a £100 initial booking deposit to confirm and secure the date. Hire items are not booked until a deposit payment has been made.  

10.4 - The customer is responsible for any damages caused to the booth by their guests or venue employees. No food or drink should be consumed near the photobooth due to spillages that can cause damages which will be charged to the customer. The client is liable to pay for any loss or damages to the goods and will be charged accordingly.  

10.5 - The customer is responsible for any expenses including future loss of rental, damages occurring during rental from negligence, loss, theft or misuse.  

10.6 - Customer will be provided with a USB with all photos taken during the hire. Beano’s Events cannot be held responsible for any photos that are uploaded to social media via guests / employees. Beano’s Events reserves the rights to use any photographs taken by the mirror for promotional material and upload to social media platforms.  

If the customer does not wish for the photographs to be used the customer must inform Beano’s Events prior to the booking. By hiring a photobooth the customer and company have rights to use the photos without limitation unless agreed in writing between both parties.  

10.7 - In the instance there is technical difficulty and the booth cannot be repaired on site during the hire, the company may choose to offer the client a refund, alternative date or future discount. The company cannot be held responsible for a technical fault which is beyond control.

    11. Wedding Styling  

11.1 - Our team will contact you to advise you of the services provided, offer advice and give ideas of how to style your wedding. Once you have had an initial consultation, the team will send over a package quote with ideas and quantities. By paying the initial £100 deposit you are confirming you are happy with the plan received and have chosen Beano’s Events for your wedding styling. 

11.2 - The initial £100 deposit is to secure your wedding date and this is non refundable. The wedding date can be transferred only if the new date is available.  This £100 will be subtracted from the total wedding styling bill. No booking is confirmed until a payment has been made and confirmation invoice has been received.  

11.3 - The remaining balance of the Wedding Styling is to be paid no later than one month prior to the wedding date. Any additional costs agreed after the original plan will be added to the original invoice and onto the remaining balance fee.  

Any additional centrepieces or décor items should be discussed with Beano’s Events as soon as you are aware it will be needed so a change can be made to the invoice and to ensure availability of the items required.  

11.4 - Changes can be made to the invoice up to 6 weeks before the wedding date. Costing will be rectified where items have been removed however this would need to be discussed with Beano’s Events prior to ensure the company has not occurred any costs to source items requested specifically. Change of items such as chair covers, backdrops and hire items can be hired out for other events so Beano’s Events would need to know in advance to check availability. Once the final balance has been made, no changes are to be made to the Wedding Styling Plan, only additional items can be added and charges will incur.  

11.5 - The customer is sole responsible for any damage caused to hire items while at the venue and must ensure respect and professional keeping of all items. If the venue is to move the items before contacting with Beano’s Events or the customer – the items should be moved with care and stored in a safe, secure, damage free facility until collection. The safe conduct and responsibility of items is secured by a Security deposit paid by the customer and any damages made to the hire items will be deducted from this fee. In the event the fee is higher than the damage deposit taken, the customer will be invoiced immediately after the event with costings to be paid. The Security fee will be stated on the original invoice.  

11.6 - Access to the venue will need to be known in advance to ensure appropriate time is allowed for the team to set up and collect on the days around the Wedding.  

11.7 - The customer must let us know of any specific requests they have to ensure the wedding styling team can provide the best service as the contract and invoice state. Any changes to be made must be agreed by the customer and Beano’s. We are happy to help set up any other items provided by the couple to help the finished wedding set up. Where available a member of the team will meet at the venue to discuss exact placement of items and ensure wedding styling is accurate to the booking. Where this is not possible due to locations - Beano’s Events may ask for photos and detailed description prior to the wedding for this information.   

11.8 - Beano’s Events recommends every couple to take out their own personal cancellation wedding insurance to protect themselves against accidents, ill health and unforeseen circumstances and including possible venue cancellations.  

11.9 - Customer Cancellation Policy in regards to the remaining balance for Wedding Styling. If you, the customer cancel your Wedding Styling with Beano's Events - the remaining balance that has been paid may be refunded if prior notice has been given. The following charges apply as compensation for loss of income for Beano's Events the following table shows the percentage refund given to customer if notice has been given.

Full balance of Wedding Styling is needed to be paid one month prior to the Wedding, the above table is relevant if a higher invoice in charged and split payments are made across a longer period of time due to Beano’s having to invest in larger styling.

11.10 -Beano's Events Cancellation Policy - In the unlikely event that Beano's Events has to cancel the contract for reasons beyond control such as death, injury, illness, emergency or other circumstance - alternative arrangements will be made within the team or another company using Beano's Events products or similar to fulfil the styling contracted. In severe circumstances when this cannot be arranged the customer will be entitled a refund of monies paid.

    12. Accidents & Injury  

12.1 - Our team will give a full safety brief on installation depending on what equipment/event has been set up. Before the team leave the location, it’s the customers responsibility to ask any questions if they are unsure. Beano’s Events will not be liable for any accidents, injuries or death. The customer must acknowledge responsibility for the use of any equipment hired from Beano’s Events.  

      13. Governing Law  

13.1- This terms and conditions shall be construed in accordance with the laws of the United Kingdom, without reference to its conflict of law provisions, and the obligations, rights and remedies of the parties hereunder shall be determined in accordance with such laws.  

      14. Indemnification  

14.1-The Customer agrees to indemnify and hold harmless Beano Events (and its employees, affiliates and assigns) from and against any and all losses, liabilities, costs, damages and expenses incurred by the Customer as a result of any inaccuracy in or breach of the representations, warranties or covenants made by Beano Events herein. 

 

    15. Limitations of Liability  

15.1 - All warranties, representations, terms, conditions and duties implied by law relating to quality and/or adequacy are excluded to the fullest extent permitted by law.  

15.2 - Beano Events shall have no liability for any damage, loss, liability, claims, costs or expenses caused or contributed to by the Customer’s continued use of defective equipment after a defect has become apparent or suspected or should reasonably have become apparent to the Customer.  

  

15.3 - Beano Events shall have no liability to the Customer for any:- 

  • Consequential losses (including loss or profits and/or damage to goodwill; 

  • Economic and/or other similar losses; 

  • Special damages and indirect losses; and/or 

  • Business interruption, loss of business, contracts and/or opportunity.  

    

    16. Waiver  

16.1 - No delay or failure on the part of either party in enforcing any provision in these Terms shall be deemed to operate as a waiver or create a precedent or in any way prejudice that party's rights under these Terms, nor shall any single or partial exercise of any right or remedy in any circumstances preclude any other or further exercise of it or the exercise of any other right of remedy. 

16.2 - The rights and remedies provided in these Terms are cumulative and are additional to any rights or remedies provided by law. 

16.3 - By making an initial payment to Beano’s Events as an initial deposit you are confirming you understand the terms of your contract and have read, understood and agree to all details of the contract.
